About the Job
Supporting to the Group Executive of People, Finance and Change and the wider team as appropriate.  A highly involved role, with opportunity to further develop and expand on your existing ability. 

Undertaking a diverse range of duties and the potential to be involved in a range of projects and liaison with outsourced service providers and industry associations such as ASFA and AIST.

Key responsibilities include:
  • Provide advanced assistance to the GE People, Finance and Change and the People, Finance and Change Leadership team.  Assisting in preparation of reports and presentations to Rest Committees and Board and other Senior Executives of Rest.
  • Manage diary and email of GE People, Finance and Change.
  • Performing various complex administrative support functions, including but not limited to, analytical and specialised administrative duties to ensure efficient office operations.
  • Perform advanced use of MS Office to provide complex presentations, reports, spreadsheets and graphs; transcribe information of a technical, confidential and or sensitive nature.
  • Determine importance and priority of various issues and determine what major issues should be brought to the attention of the GE.
  • Research, compile, summarise, and analyse information to formulate correspondence and respond to various inquiries from internal and external sources.
  • Manage the organisation of meetings including scheduling and invitations, booking rooms, setting up agendas, minute taking, organising catering and distribution of meeting documentation and minutes.
  • Circulation of reminders of outstanding action items, project reports and documentation to the relevant parties and individuals in a timely manner allowing for adherence to deadlines.
  • Maintains team documentation and information that may be confidential, sensitive and or critical along with project artefact documentation and project financial reporting into the document management system and or project office management system.
  • Complete expense reporting, invoice processing and track budget expenditures as required.

Desired experience, understanding or credentials including:
  • Extensive experience providing complex support or problem-solving in a fast-paced environment, either as an executive/personal assistant or in a role with similar multi-faceted demands.
  • An interest in human resource, administration or finance.
  • High degree of confidentiality and interpersonal sensitivity
  • Agile and adaptable; able to operate in fast paced environment and adjust to changing priorities.
  • Advanced Microsoft Office skills including Word, Excel and PowerPoint.
  • Excellent time management skills and ability to manage competing demands under pressure

Bachelor’s degree or equivalent, ideally in an area such as human resources, professional services or humanities, or similar (desirable).
