Exciting opportunity for an experienced PA/Project Assistant who thrives in a fast-paced environment, to join our Investments Team in this key role.

About the Job

As the PA/Project Assistant, you will be responsible for providing high level support to the Chief Operating Officer – Investments, the Chief Investment Officer and the Investments project teams spread across both Melbourne & Sydney and will work within the broader Investment support team across the Investments function.

Key responsibilities include:
 
  • Provide high level administrative support to COO, Investments & Chief Investment Officer
  • Complex diary and email management
  • Preparation of papers, reports, spreadsheets, briefing packs and various documentation
  • Coordination of meetings, agendas, minute taking, action items, catering and distribution of documents and minutes
  • Travel and Event management
  • Manage onboarding and offboarding process for team
  • Support people and culture activities for the group – leave tracker, team engagement, culture surveys
  • Process invoices and credit card expenses and where applicable, assist in budget tracking
  • Support team with compliance and risk deliverables
  • Provide project support and co-ordination of high-profile investment team projects and deliverables
  • Develop and assist with preparation of presentation materials and briefs
  • Prepare meeting materials, agendas, take meeting notes and track actions for the projects
  • Circulation of project reminders of outstanding action items, project reports and documentation to the relevant parties and individuals in a timely manner allowing for adherence to deadlines.
 
About You:
Ideally, you be a self-starter, with exceptional communication and interpersonal skills, highly organised and enjoys working in a fast-paced team environment.

  • Previous PA, Office Manager, Team Assistant or similar
  • Excellent time management skills, ability to manage competing demands under pressure.
  • Exceptional communication skills, both written and verbal.
  • High degree of confidentiality and interpersonal sensitivity.
  • Demonstrated ability to effectively plan, prioritise and organise.
  • Ability to operate in fast paced environment and adjust to changing priorities.
  • Strong attention to detail and accuracy.
  • Proficient MS Office skills including Teams, One Note, Excel and PowerPoint.
  • Capable numeracy skills including ability to work with financial budgets and forecasts.
  • Ability to build strong working relationships with internal and external stakeholders
  • Experience and understanding of a financial services project environment highly advantageous
